From closed case to invoice sent — without leaving Callout360.
Breakdown invoicing software that builds the invoice from the job you've already logged: per-line VAT, sequential numbering and a PDF emailed straight to the customer.
Start the invoice from the job
You've already logged the callout — don't type it all again. Raise an invoice from a job and Callout360 prefills the bill-to name and address from the customer, sets the reference to the job's own reference, pulls in the customer's email and drops in a starting line built from the reported fault and location. You fill in the amount; the case has done the rest.
Per-line VAT, done correctly
Real breakdown invoices mix VAT rates — standard-rated labour and parts, the odd zero-rated or 5% line. Every line carries its own rate of 20%, 5% or 0%, and VAT is worked out per line and summed, so the totals are right to the penny and the VAT breakdown by rate is there for your bookkeeping. Net, VAT and gross are always recalculated from the lines themselves, never from a stale stored figure.
Proper invoice numbers and PDF invoices
Each invoice gets the next sequential number for your company — INV-0001, INV-0002 and so on — locked so two invoices can never claim the same one, even under pressure. Callout360 renders a clean, professional PDF you can keep or send. Invoices start as a draft you can edit freely, and once they're sent they're marked accordingly so your records stay straight.
Emailed to the customer, PDF attached
Send an invoice and Callout360 emails it to the bill-to address with the PDF attached, from a proper invoices address, with replies pointing back to your own company email. The invoice is only marked as sent once the email has actually gone — if it fails, it stays a draft rather than telling you it went out when it didn't. Need to send it again? A sent invoice can be resent at any time, but it's protected from accidental deletion.
