Privacy Policy

This policy explains what data Callout360 collects, why, who we share it with, and the rights you have over it. Plain English, no games.

It applies to everyone who uses Callout360, from roadside repair agents to fleet workshops, and to visitors to this marketing site.

Who we are

Callout360 is built and operated by TNS365, a UK company that runs 24/7 breakdown operations. For anything in this policy, TNS365 is the data controller for your account and business data. You can reach us any time at hello@callout360.com.

What we collect

We collect the information you and your team put into Callout360, and the minimum we need to run your account:

  • Account details — your business name, the names and email addresses of your staff users, and your login credentials (passwords are stored hashed, never in the clear).
  • Operational data — the case, customer and engineer records you create: breakdown details, vehicle information, locations, job notes, status history, job sheets and any photos your team attaches.
  • Mailbox data — if you use the email inbox, the messages you send and receive through it, so they can be attached to the right case.
  • Billing details — the plan and add-ons you are on. Card payments are handled by Stripe; we do not see or store your full card number.

How we use it

We use your data to provide the service, and for nothing sneaky. That means running your account, storing and displaying your cases, sending the customer updates you ask us to send, processing your subscription payment, and contacting you about your account or important service changes. Our lawful bases under UK GDPR are performance of our contract with you (running the service you have signed up for) and our legitimate interests in keeping the platform secure and working. We do not sell your data, and we do not share it for anyone else's marketing.

Who we share it with

We keep the list of third parties short and only use processors we need to deliver the service:

  • Stripe — processes subscription payments securely. Your card details go to Stripe, not to us.
  • Mailgun — delivers the transactional and customer-update emails the platform sends on your behalf.
  • OpenAI — used only to generate illustrative images for articles on our public news page. It is not used to process your case, customer or engineer data.

Each of these is a processor acting on our instructions under a data-processing agreement. We may also disclose data where the law requires it.

Where it lives and how long we keep it

Your data is stored on UK-based servers operated by TNS365, with access restricted to the team members who need it to run and support the service. We keep your operational data for as long as your account is active. If you close your account, we remove or anonymise your data within a reasonable period, except where we are required to keep certain records (for example, billing records for tax purposes).

Your rights

Under UK GDPR you have the right to access the personal data we hold about you, to have it corrected if it is wrong, to have it erased, to object to or restrict certain processing, and to receive a copy in a portable format. To exercise any of these, email us at hello@callout360.com and we will help. You also have the right to complain to the Information Commissioner's Office (ICO) if you are unhappy with how we have handled your data, though we would always rather you came to us first.

Cookies

Our marketing site uses only the cookies needed to make it work. The Callout360 application uses a session cookie to keep you logged in. We do not run third-party advertising trackers across the site.

Changes to this policy

If we change how we handle data, we will update this page and move the "last updated" date. For significant changes affecting your account we will let you know directly. This policy sits alongside our terms of service, and if you have any questions at all, hello@callout360.com reaches a real person on our team.
